Importing Disposition Data SOP

This standard operating procedure covers gathering, preparing and importing disposition data into GOAL, so that campaign performance tracking and CPA reporting are accurate. Disposition data reflects lead outcomes: contacted, quoted and bound. Accurate data is critical for Campaign Optimization SOP and for calculating a true cost per acquisition, CPA.

Key terminology

Disposition data
Lead outcomes reported back from the client's CRM, meaning whether a lead was contacted, quoted and bound.
Contacted, quoted and bound
The three disposition columns added to the client's export, one per outcome. Enter 1 for yes, and leave blank or enter 0 for no.
Conversion Bulk Import
The screen in a GOAL account, under Settings, where a prepared disposition CSV is uploaded, mapped and processed.
Initial Import
The import mode used only for the very first upload on a new account.
Overwrite
The import mode used for all subsequent uploads, which updates existing records.

Procedure, four steps

Steps 1 and 2 build and upload the import file. Step 3 cleans up whatever failed, and step 4 applies only when lead attribution is unclear.

1. Prepare client data for import

Build the import file from the client's own CRM export.

  • Obtain a CSV export from the client's CRM, such as Ricochet, Agency Zoom or Lead Manager
  • Add three new columns to the spreadsheet: contacted, quoted and bound
  • Map each CRM status to its disposition column, as below
  • Remove any rows not attributed to GOAL leads
  • Save and export the file as a CSV

Use 1 for yes. Leave blank or use 0 for no.

2. Upload via Conversion Bulk Import

Take the prepared CSV into the client's GOAL account and map it to the platform's fields.

  • Log into the client's GOAL account and navigate to Settings, then Conversion Bulk Import
  • Drag and drop your prepared CSV to upload it
  • Map the fields, as below
  • Select the mode, Initial Import only for the very first upload on a new account, or Overwrite for all subsequent uploads
  • Click Import and review the results

3. Fix import errors

Failed records are usually the result of mismatched phone numbers or Call IDs.

  • Review the error log and identify the records that failed
  • Cross-reference the failed records with GOAL lead data to find the correct Call ID or phone number
  • Update the CSV with the corrections and re-upload it using Overwrite mode

Best practice

Always prioritize fixing errors for quoted and bound records, as they impact CPA directly.

4. Marry and merge data, advanced

Use this step when lead attribution is unclear.

  • Export disposition data from the client CRM and lead data from GOAL
  • Use phone number as the primary matching key
  • Use AI tools to join the datasets and identify GOAL leads incorrectly attributed to other vendors
  • Correct the attribution in the import file before processing

Critical nuances

Manual portal entry does not report

Marking dispositions manually in the portal does not push data to analytics or reporting.

Warning

Bulk import is required.

Matching nuance

Phone numbers are the best identifier, but be aware of landline versus cell variations, and of maiden name misspellings.

Client communication

If a client is reluctant to share disposition data, explain why it is needed.
